Terms and conditions for booking your luxury bush accommodation with African Bush Villas

African Bush Villas - Booking Terms & Conditions.

•  ACCURACY OF DESCRIPTIONS
All descriptions are given in good faith and in the belief that they are true.

•  BOOKING DEPOSIT
A deposit of 50% of the value of the villa rental or holiday package is required to secure the dates for rental/holiday at the villa of your choice.

•  BALANCE OF PAYMENT
The balance of the holiday payment is payable 4 weeks in advance to African Bush Villas. This includes the villa rental and any other service costs booked through African Bush Villas. Reminders are not sent. lf the balance is not received within  4 weeks of the commencement of  the rental period then African Bush Villas will be entitled to take this  to mean that the holiday has been cancelled.

•  CANCELLATION
Once a booking is confirmed the holidaymaker is liable for the balance of the rent for the rental period agreed for the property of choice. African Bush Villas must be notified in writing immediately of any cancellation.

Cancellation Terms:-

Cancellation 0-7 days prior to date of holiday/rental full cost of the booking is required.

Cancellation 7 to 21 days prior to date of rental forfeits 100% of the deposit. Cancellations 21 to 35 days prior forfeit 50% of the deposit.
Cancellations more than 36 days prior forfeit 25% of the deposit.

On receipt of a written instruction to cancel the reservation, including bank details, African Bush Villas will refund the applicable amount, within 7 working days. African Bush Villas levies a 7% administration fee on any refunds processed. Should refunds to a SWIFT bank account be required, an additional ZAR185 charge will be levied.

•  In no circumstances can the period booked be exceeded and the number of persons shall not exceed the number stated on the booking form without prior agreement with African Bush Villas. Where amendments are required this can be discussed with an African Bush Villa representative prior to the commencement of the holiday period and where possible the amendment to number of nights or persons will be accommodated. The cost and booking form will then be altered accordingly. The right of entry to any villa is reserved during reasonable hours for inspection or any repair deemed necessary.

•  African Bush Villas point out that in making your reservation; they act as Agents for the villa owners.

•  The tenant of a villa undertakes to keep the premises and effects in the same state of repair as when they arrive at the property and shall pay the owner the value of any damage or loss to the premises, fittings and effects other than reasonable wear and tear. The premises should be left in the same condition of cleanliness & general good order in which it was found. A breakage deposit of ZAR 1,000 will be taken at the time of payment of the balance of the holiday payment which will be returned once a full inventory has been made at the termination of the holiday minus any costs for damage. Should any deductions be made these will be listed and notified to the renter of the property so that any discrepancies can be resolved. In most cases, e.g. the breakages of drinking glasses etc it is usually sufficient for a cheap replacements to be sought at the local supermarket. African Bush Villas will be happy to assist in any such situation.

•  The holidaymaker promises to reimburse African Bush Villas for any bank charges losses reasonably sustained due to cheques being either dishonoured or having to be represented.

•  COMPLAINTS
Any complaints should be notified to the African Bush Villas representative whose number will be given to you prior to the commencement of your holiday. In the unlikely event that you cannot contact your representative an alternative number will be given to you which will be available 24 hours per day throughout the duration of your stay. If there are any complaints we will endeavour to resolve any problems as quickly as possible.

Please remember that outgoing holidaymakers do not always report
damaged equipment but African Bush Villas will try and provide a replacement or repair any damaged equipment as quickly as possible once we are notified of any problem.

•  GENERAL & BASIS OF OCCUPATION
The accommodation is for use as residential accommodation for the period of the holiday or rental only, there is no right to remain in the accommodation at the end of the period booked. The rental of the property will be available from the time specified and arrival times should be agreed with African Bush Villas where the renter is likely to want a late arrival time this should be agreed prior to commencement of the let except in an emergency.

Where delays have been experienced and time of arrival delayed beyond the usual working day, African Bush Villas will try to make sure that someone is available to open the property subject to sufficient notification on the day of arrival.

The person signing the booking form is and will remain responsible for members of his/her party and should make sure they are aware of the booking conditions and that they meet the obligations arising there from in  every way.  

•  lf the booking conditions are contravened in any way African Bush Villas may refuse the right of entry to the property and no money will be refunded.

•  Any amendment to a booking after paying a deposit will incur an administration charge of ZAR 300.

•  In all cases there is a requirement for a breakages and damages deposit of ZAR 1,000, the deposit to be applied against such costs but any balance will be refunded within 7 days of the end of the holiday. (See section 7).

•  If  African Bush Villas has to cancel a villa booking due to unforeseen  circumstances beyond his control (for example fire, storm or flood damage) liability will be limited to the following – African Bush Villas will arrange an alternative property of comparable quality or offer alternative dates for the villa of choice should that be your preferred option. In the event that this is not acceptable a full refund will be offered.

•  A booking is only deemed to have been contracted when African Bush Villas have banked the deposit payment and sent a receipt confirming the booking for the villa with the correct dates. Any previous action is merely a tentative booking and not binding on either party.

•  Bookings can only be made by means of a booking form and by people over the age of 18.

•  The holidaymaker realises that where villas are located on wildlife estates or game farms, animals may be present in the vicinity of the property and in some cases may enter the property. African Bush Villas staff will be available to provide support should there be any cause for concern and will assist with any removals required. For example, birds can often try to fly into the properties and wart hogs often frequent boma areas. The renter should take every precaution to avoid problems for example, by keeping doors closed when monkeys are in very close proximity to the property.

In addition you should remember that as we are in Africa a variety of flies and insects will be present. All assistance will be given to minimise the effect of these on the enjoyment of your holiday but many of our properties are in malaria risk areas so good preventative methods are better than a cure. We would be happy to advise you on which methods are more effective and times of year when you would be more at risk.

•  All payments made are to be made directly to African Bush Villas through the methods outlined on the booking confirmation form.

•  All villas are booked on the basis of the information given in the description only. Where you may have specific needs that need to be taken into account please discuss this with the African Bush Villa representatives prior to making a booking and we shall endeavour to meet your needs.
